Healthcare incident response: write useful status updates

Illustrative situation

An outage message says only that the team is looking into it. Staff cannot tell which services are affected or what they should do meanwhile.

The decision

Communicate verified impact, available alternatives and the next update time. Avoid speculative causes or promises the investigation cannot support.

Rehearse this before accepting the change

Draft an update when the cause remains unknown and check that it is still useful without inventing a resolution estimate.

Use fictional examples and an authorised test environment. Record what happened, the evidence you inspected and any issue that still needs a responsible owner.

Choose a useful measure

Measure whether promised update times were met and whether changes in impact were communicated.

Agree the definition and baseline with the team doing the work. Review the result over a comparable period and note other changes that could affect it.

Monitor the useful journey, not just whether a server responds.

Your planning worksheet

Use these checks to prepare a discussion with your team or supplier. Tick a check when you have recorded the decision or evidence, rather than when a feature has simply been promised.
