Explain who answers questions about a shared building

A person contacts the host practice about a provider using another room. Reception can give building directions but cannot access that provider's diary or invoices.

What to change

Describe the boundary between premises information and provider-specific administration. Use the same organisation names shown on appointment confirmations so visitors can identify the correct contact.

A worked example

Illustrative example

A therapy centre gives the building reception number for arrival help, then directs patients to their own provider for appointment changes. The wording explains why the two contacts have different roles.

How to check the result

Visitors can route the question by its subject without understanding the centre's internal arrangements.

A mistake to avoid

Do not imply that the person at the entrance can view or amend every appointment taking place in the building.

Your action checklist

Use these checks to prepare a discussion with your team or supplier. Tick a check when you have recorded the decision or evidence, rather than when a feature has simply been promised.
